Advertised Summary Job Description: The Department of Neurology is seeking a Patient EEG/EMU Coordinator who will work on scheduling and coordinating outpatient EEG referrals and inpatient EMU referrals for the Division of Adult Epilepsy within Neurology, Pre-Certification/Authorization for EEG and EMU procedures within its units. The coordinator will schedule all internal and external referrals in a timely fashion, secure insurance and financial clearance, and secure pre-certification for procedures to ensure reimbursement is maximized through required interaction with third party payers.
This position reports to the Senior Practice Manager.
Duties will include the following:
-Scheduling for all EEG and EMU locations for referrals received from outpatient Neurology practice/office, NYPH clinic, Emergency Department, Inpatient hospital discharge, outside physician referrals, etc. -Explaining test procedures to patient and family members present or via phone. -Following the EEG and EMU screening protocol. -Triage in advance all epilepsy physician schedules for new and established patients needing a routine EEG. -Contact appropriate insurance companies for benefit verification, eligibility and pre-certification requirements for all EEG testing and EMU admissions, via IDX eligibility module, Experian, online or by phone.
-Initiate & facilitate pre-determinations as required by specific payers. Supply all documentation required during pre-certification & pre-determination process to all insurance carriers. -Ensure all necessary authorizations and referrals have been received and entered in IDX/CROWN and that all required fields are completed with necessary information prior to procedure date. -Ensure that every patient scheduled for EEG and EMU is provided with the proper instructions for procedure. -EEG and EMU appointments must be confirmed 2-3 days prior to test along with re-verifying insurance.
-Ensure smooth patient flow for all procedures by monitoring the daily schedule for tardiness or potential no-show. -Inform physicians and team via email of any same day or same week availability for EEG slots and any last minute cancellation, to ensure maximization of EEG labs. -Follow up on cancellation and no shows by calling patients to reschedule and informing referring physicians of outcome. -Counsels patients and families on financial procedures, specifically regarding self-pay policies & out of pocket expenses. -Act as liaison between internal & external customers including patients, healthcare professionals, administrative & clinical office staff. Communicates any changes in requirements and pre-certification issues with the appropriate section. -Daily EEG tracker required, to be completed and sent to the reading physician by the end of business day.
-Responsible to run weekly and monthly EEG reports, work on reconciliation for any pending studies to ensure department compliance with FPO turnaround time for EEG procedures. -Notify physicians of any pending studies. -Conducts self and maintains self in a professional manner, demonstrates positive interpersonal skills with patients, family members and colleagues. -Works closely with EEG technicians in troubleshooting and solving common EEG system problems that may cause conflict with scheduled tests.
Other related duties as assigned.
General Minimum Qualifications: Requires a bachelor's degree or equivalent in education, training and experience, plus two years of related experience.
Additional Specific Minimum Qualifications: Position requires a minimum 6 months of work experience in neurophysiology and participate in scheduling EEG studies.
