Under the supervision of the Practice Manager, the Office Float/Medical Assistant is responsible for providing clinical and clerical assistance, including rooming patients, assisting with exam and procedures, performing waived lab tests, administering medications, registering patients, scheduling/confirming appointments, processing managed care referrals and medical record scanning. Actively participates in outstanding customer service and accepts responsibility in maintaining relationships that are equally respectful to all.

Licensure, Certification, or Registration Required:
Basic Life Support
Medical Assistant certification/registration from one of the following:
American Registry of Medical Assistants
National Center for Competency Testing
American Medical Technologists
American Association of Medical Assistants
National Healthcareer Association

Floats to like positions (delineated below) at other Graduate Medical Education offices when assigned.
Greets patients warmly and in a timely manner. Requests and verifies patient demographic and insurance information in order to register all patients in a professional manner according to Medical Education Guidelines. Obtains consents. Processes appropriate co-pays, past due balances and documents due for services rendered. Balances the cash drawer and daily receipts to the user batch report on a daily basis.
Utilizing Medical Education Guidelines, makes, cancels and reschedules appointments according to patient, and physician' availability. Answers calls, using scripted opening greeting, identifying department and self. Asks the patient's name and demographic information before processing the call. Confirms appointments.
Processes referral requests. Communicates with physicians and insurance companies to ensure that the patient is sent to the participating facility or specialist. Obtains authorizations for managed care patients. Copies and faxes medical records as needed to the insurance company to expedite the authorization process. Sends requested medical records to the specialist. Documents all referrals in patient records. Acts as a liaison between patient, physician and managed care organization when questions or problems arise concerning a referral. Communicates effectively with clinical staff.
Monitors fax machine to insure proper distribution of patient records and other correspondence to appropriate individual. Follows Medical Education Guidelines to process current patient records and respective correspondence, analyze medical record requests for accuracy and completeness and ensures authorization supports documentation to be released. Retrieves and distributes patient records in a timely manner. Maintains current log of medical records received and disclosed.
Prioritizes work effectively. Scans records into Epic utilizing Optical Character Recognition (OCR) and image scan. Reviews and corrects images scanned to ensure quality and accuracy.
Organizes patient care by having the patient prepared and ready on time for the physician visit. Rooms and completes appropriate documentation, following nursing protocols. Assists the physician with examination and procedures. Gives medications independently as monitored by the Nurse Manager.
Coordinates surgery/procedures with patient and providers. Obtains authorization as required. Assures paperwork is completed and given to appropriate departments & providers. Completes disability paperwork. Meets with patient to give instructions for surgery/procedure and answer questions regarding the process. Assures post-procedure paperwork gets in the chart.
Performs individual and team duties accurately and in accordance with Medical Education guidelines. Demonstrates flexibility and willingness to support coworkers and other GME offices. Works well within the organizational framework to achieve hospital/departmental goals and objectives.
