This position will be toserve as part of the administrative team for Pediatric Emergency Medicine(PEM). Strong written and oral communication skills are required.The individual will work directly with the multiple physician leaders in the area.This individual will provide key stakeholder a wide range of support, includingassistance and management of the applications, interview and recruitmentprocess for students, residents and fellows and any ad hoc projects as needed.
1.KeyFunctions and Expected Performances:
1.Serves as the Pediatric Emergency Medicinefellowship coordinator.
a.Coordinate and execute40+ interviews of Medical Doctor Candidates interested in pursuing PEMsubspecialty training.
b. Serve as liaisonto incoming fellows to ensure smooth transition from resident tofellow. This includes significant communication to obtain necessarydocuments, answer program-specific and general questions. Keep newfellows informed on key due dates for GME-related documents and times lines forstart dates.
c.Work in conjunction withthe PEM Fellowship Program leadership to ensure that the learning experiencesof the Program meet the requirements of ACGME and GME. This includesnew teaching opportunities, expectations for rotations, conferenceparticipation and research time.
d.Assist PD and Assoc. PDin the creation of the yearly PEM Fellows Conference Schedule. Thisincludes discussing ideas for lecture topics and speakers. Followthrough with contacting Faculty in other departments to extend invitations tolecture and coordinating schedules to ensure lectures are plannedappropriately.
e.Utilize New Innovationsto design and implement Fellow/Faculty evaluations based on the new ACGME milestonesfor PEM.
f.Maintain all necessaryFellow requirements including duty hour reporting, completion of evaluations,logging of procedures and up-to-date certifications.
g.Coordinate Fellowmonthly time off reporting in the Kronos system and maintain documentation,including FMLA reporting.
h.Assist PD and Assoc. PDin the creation of yearly rotation schedules. Liaison with outsidedepartments to coordinate rotation schedules of PEM Fellows.
i.Work with individualfellows in the control of travel expenses and reimbursement of ContinuingMedical Education funds, which includes communication regarding allowablepurchases and expensing items to ensure reimbursement.
j.Manage the budget forfellowship interviews and monitor overall fellow cost of practice center.
2.Actas liaison for the program to outside institutions that participate in visitingresident/medical student/Physician Assistant programs at Vanderbilt
a.Coordinate withEnrollment Services/Visiting Students Program on visiting medical students whohave applied to rotate through PEM. Includes initial contact of the visitingstudent to communicate rotation needs, expectations and requirements, includingthe creation of their rotation schedule.
b.Coordinate withDepartment of Graduate Medical Education on visiting residents who have appliedto rotate through PEM. Includes initial and follow-up communication,establishment of education expectations and requirements and creation ofrotation schedules.
c.Assist in themaintenance of the evaluation system to collect feedback from faculty for eachstudent. Gather feedback and send to visiting studentâs institution.
3.Actas liaison for the program with University/VUMC faculty and staff regardingVUMC students.
a.Coordinates PEMeducation rotations for School of Nursing and School of Medicine whenrequested.
b.Work with Department ofEmergency Medicine Director of Undergraduate Medical Education to ensure thatEM students rotating through PEM are scheduled in a manner to maximizeeducation experience without compromising operational activities.
4.Otherresponsibilities as requested, including the following:
a.Responsible forprocurement and reimbursement as needed by fellows and faculty.
b.Support PEM ResearchDirector and PEM Fellows with various needs with research projects.
c.When requested, liaisonwith other institutions/offices to obtain various reports.
Job requires an Associatedegree and 3 years of experience or the equivalent.
