Position provides administrative, operational, and human resources management support which requires considerable judgment, tact, creativity and initiative for lead administrative faculty and staff including the Division Chief, Clinical Chiefs, Business Director and the Manager of Financial Operations.��
PRIMARY DUTIES AND RESPONSIBILITIES:
Provides administrative support to Division Chief, Clinical Chiefs, Business Director and the Manager of Financial Operations. This support includes complex calendar management, scheduling meetings, arranging travel and overseeing daily desk activities as well as interaction with high level hospital management and external executive level personnel on their behalf.
Acts as a liaison between Division Chief, Faculty, Staff, other departments and/or external contacts on day-to-day operational and administrative issues of the Division; facilitates seminars, meetings, special projects, and problem resolution.
Responsible for the preparation and management of excel spreadsheets and financial reporting that correlates to Faculty and NP/PA clinical schedules, clinical work hours, and payroll activities.
Manages tableau reporting requirements by working monthly/quarterly with the IT programmers to provide/review the Faculty incentive data metrics required for the division’s quarterly bonus structure, coordinates incentive plan documentation with Business Director, and completes audits of the clinical hours with providers and the Division Chief.
Prepares spreadsheet analysis and reporting of key metrics within the division.
Composes a variety of materials including letters, memos, confidential reports and correspondence with responsibility for format, arrangement of attachments, correct spelling and grammar relating to Faculty and NP/PA recruitment including ad placement, faculty hiring process, interviews, etc.
Manages the Faculty and NP/PA privileging/credentialing process as well as ensures timely and accurate completion of the annual re-appointment process and the faculty appointment and promotion process within school guidelines.
Assists the Business Director and the Manager of Financial Operations in the preparation of financial reports, reviews data, identifies trends in financial analysis, and makes recommendations for analysis of trends and changes in divisional policies.
Responsible for entering online documents in FIS, such as PO’s, check requests, travel advances, change orders, bills and invoices for various faculty members and the NP/PA group within the division.

Bachelor's degree in related field required.
Minimum of 5-7 years of office management experience.
Proficient in Excel, Word, and Powerpoint as well as financial management experience required.
Experience in a medical, research or education environment preferred.
Previous supervisory/lead role and credentialing/privileging experience preferred.
8-10 years’ experience in a related setting preferred.
Excellent customer service skills, organizational skills and ability to multi-task.
Professional appearance and excellent communication skills.
Strong attention to detail is key with the ability to prioritize work and act in an independent nature with sound decision making.
The hiring range for this position is $50,294 - $65,374 annually.
