Vanderbilt University Medical Center's Department of Emergency Medicine is a national leader in emergency care research. Led by 8 core faculty and an extensive research infrastructure, we are top leaders in designing innovative ED-based research and are top enrollers in both industry and federally funded studies. Our research staff actively screens patients over 100 hours each week in the emergency departments at VUMC and the Tennessee Valley Hospital. Combined, these Eds see over 100,000 patients each year. Job Summary This position will provide varied clerical and administrative support to research faculty and staff within the Emergency Medicine Research Division. The activities may be of a detailed and confidential nature, and may involve a substantial amount of complex detailed and technical work. The person in this role is expected to coordinate a variety of office management activities so he/she must be resourceful and have a high understanding of general administrative policies and procedures.
Key functions and expected performances include but are not limited to the following:
1.Performs general administrative office duties â¢Completes various internal forms (check requests, 1180âs, etc.) for administratorâs approval â¢Completes travel authorization requests and processes reimbursements â¢Coordinates facility maintenance requests â¢Serves as point person for Plant Services and other vendors â¢Maintains records and helps with recommending/defining office processes â¢Documents office processes (filing systems, office procedures, and workflow) â¢Maintains and orders office supplies; tracks usage and maintains inventory â¢Assists with answering telephones, routing calls, taking messages, etc. while maintaining professional phone courtesy â¢Performs general clerical duties which may include filing, copying, scanning, etc.
2.Provides support to research faculty â¢Provides basic research support which may include web and library research, manuscript composition/development â¢Updates faculty CVâs, biosketches and other documents â¢May compile research data and assist with summarizing findings â¢Develops spreadsheets/databases to include gathering appropriate information â¢Coordinates special projects (e.g., seminars, mass mailings), which may include preparing presentations using a variety of formats
3.Maintains appointment calendars and schedules meetings â¢Responsible for coordinating and scheduling a variety of meetings for faculty and department â¢Coordinates conference room schedules and tracks utilization of meeting space â¢Updates and maintains shared office calendars â¢Coordinates department meetings and events (Annual EM Retreat) â¢Procures supplies, beverages, food, etc. for meetings and events
4.Processes incoming and outgoing mail â¢Delivers mail to the appropriate location as defined by department â¢Handles and distributes mail in an efficient and timely manner â¢Maintains mail room areas
5.May perform additional administrative and clerical duties to assist faculty
Minimum Requirements: This position requires a high school diploma and a minimum of two years of related experience.
Successful candidates will possess and demonstrate extraordinary attention to detail and the ability to manage multiple projects and deadlines simultaneously while remaining helpful and courteous. Candidate will possess excellent communication skills (written and verbal) and judgment with the ability to be a part of a team. Candidates must be extremely organized, efficient, self-motivated and focused on group outcomes. Must have a solid proficiency with MS Office (Word, Excel, Outlook, PowerPoint). Additional Information This is a full-time position; 40 hours per week; M-F.
Salary is dependent upon education and experience.
