Involves managing or performing the administrative services or managing the full general operations of Central Human Resource Office. Administrative services include activities in finance and human resources, IT, facilities, and management of student workers.
•Administrative support to HR Units such as greeting customers, routing and/resolving customer calls and concerns, mall distribution, supervising day-to-day operations of the front desk student assistants and general supply ordering and inventory. •Much, if not most, of the correspondence this position handles is confidential is nature. •Routing communications and calendaring as per department practice/protocol is especially important as It relates to bargaining unit issues. •Assist with various filling system and internal mailing processes and procedures. •Applies standard office software programs that include straightforward application including, but not limited to Google Applications (Forms, Sheet, Docs and Gmail) Word, Excel, Powerpoint, BearBuy, and Learning Management System. oMay change formatting on spreadsheets/documents to better display results. oPrepares send-call communications regarding general administrative updates (printing issues, meeting notices, conferences rooms etc.) oManage the sending of communications regarding departmental emergencies (evacuations, emergencies, etc.) •Oversees routine administrative and logistical arrangements for conferences rooms involving multiple parties, receiving limited direction. •Determine special room and equipment needs. •Manages conferences room calendar and communicate changes if needed. Remedy scheduling conflict associated with changes.
Administrative Support to OEM Director and Organization Staff
•Prioritizes and manages the Director’s time and complex calendar including identifying preferences, required attendance, initiating and responding to scheduling request. •Draft responses to meeting inquire and assists with preparation of presentations or meeting materials. Independently prepares committee and briefing materials for meetings with campus leaders. Complies spreadsheets or presentations as needed. •Ongoing professional development•Excellent customer service skills •Working knowledge in administrative procedures and processes including word processing, spreadsheet and database applications. •Requires verbal and written communication skills, active listening critical thinking, multi-task and time management skills. •Skill in managing sensitive and confidential information regarding bargaining unit issues. •Ability to participate in administrative project work as needed including process improvement, conferences, departmental events and campus wide events, event logistics, HR special projects etc. •High school diploma or equivalent experience
