The successful applicant will support and provide guidance for the premiere engineering honor society. Working with volunteers and chapters worldwide, the Program Manager has a leadership role in a variety of programs and services, including awards, conference, publications, website, membership growth, chapter growth, social media, and events.
This position is a fast moving, requires critical thinking and presentation skills, and works alongside of top students, professors, universities, and other partners within IEEE.
You will use your technical, communication, project management, creative and organization skills in this dynamic environment and have an impact on the students and members of IEEE-HKN.
Daily operations of the IEEE-HKN (35%)
The maintenance of the official and permanent records of IEEE-HKN.
Serving as Subject Matter Expert (SME) for the IEEE-HKN for the Chapters and Committees.
Coordinating the IEEE-HKN strategic and operational programs and services for IEEE-HKN.
Provide oversight for the daily processing of HKN orders.
Ability to move materials (up to 30 pounds), shifting room set up, ensuring audio/video equipment is properly functioning during a conference / meeting set up. This includes but is not limited to:
Ensure the awareness and engagement of IEEE-HKN Chapter Officer leadership in programs, trainings, regular communication, and activities.
Manage the development of all IEEE-HKN communications and websites in support of essential functions.
Support, evaluate, and evolve leadership training for IEEE-HKN volunteers participating in IEEE-HKN's Chapter activities.
Author, and disseminate, regularly scheduled updates and news related to IEEE-HKN Chapter development, and the execution of IEEE-HKN's strategy. Coordinates with other OU’s and internal publicity outlets to incorporate and promote IEEE-HKN.
Manager of IEEE-HKN on-line communities including: maintenance, support, and identifying additional partners, features and benefits that can be offered via this tool.
Meeting Support and Management (20%)
Provide staff support to the IEEE-HKN Board of Governors (IEEE-HKN-BOG), and some board level committees including but not limited to, meeting planning (on-site and in-person, as well as via teleconference, Web conference, and electronically), contract negotiations, development of agendas, meeting minutes, and action items.
Serve as Recording Secretary of IEEE-HKN Board of Governors and related committees
Research and write agenda items related to each area of responsibility;
Produce agendas, provide on-site meeting support as well as teleconference support.
Produce and disseminate action/information items; and take, produce, and disseminate meeting minutes in a manner that meets legal and governance (Bylaws, Policies, Operations Manual) requirements.
Ensure the IEEE-HKN has the information necessary to accomplish its work in a timely manner.
Assist and participate in the development and execution of strategies, project plans, financial analyses, and budgeting for programs in support of IEEE-HKN Chapters and activities.
Provide Staff support to IEEE-HKN Student Leadership Conferences including, but not limited to, meeting planning (on-site and in-person), host chapter committee and volunteers contract negotiations, provide support to the Student Leadership Conference Chair and Committee on the development and generation of conference materials. Support sponsorships and work with volunteers to properly fund these program
Evaluate cost analyses for proposed venues for in-person IEEE-HKN meetings, regional student program, and Board Meetings as necessary.
Publication and Content Support (25%)
Create and maintain content for the IEEE-HKN website, and ensure meeting documentation is uploaded to the website within the timelines for each meeting. Coordinate communications with the IEEE-HKN Chapters, Board of Governors, and Committees, creating and maintaining electronic media to facilitate their activities. Quarterly alumni e-newsletter, BDRS communications to the IEEE-HKN contacts, fundraising appeals, social media regular posting and campaigns.
Publication Support: Assist in the Staff support of THE BRIDGE magazine, IEEE-HKN's flagship publication, oversee the production of each issue and author/obtain appropriate articles and news for publication.
Staff liaison between IEEE-HKN Chapters and other IEEE-HKN and IEEE Staff (10%)
Including operations within EAB, MGA, TAB, Finance, and IEEE.
Pursue process and integration improvements between IEEE and IEEE-HKN.
Coordination with the IEEE student, young professional, and women in engineering programs.
Other Special Projects/Initiatives as Assigned (10%)
Provides thought leadership to external associations and industry groups
Works on special projects as assigned
Education and Experience:
BA or BS in communications, business administration or related field preferred (or equivalent experience)
3-5 years of business experience
Must possess outstanding managerial and interpersonal skills
Should possess the ability to balance several assignments and activities simultaneously, while adhering to tight deadlines
Should possess excellent written and verbal communication skills
Must have advanced computer abilities, including knowledge of emerging software and trends
Demonstrated ability to work with volunteers and professionals at all levels, including staff members, academic and industry leaders
Strong proofreading, editing, presentation and reporting skills are essential
Association, Non-Profit, project management, volunteer management and fundraising experience are preferred.

Demonstrated ability to define and manage processes as well as drive results
Self motivated, disciplined and organized
Website management and social media experience
Should easily embrace technology and understands how to create operational and process efficiencies and involve current and emerging technologies related to the same
Strong written and oral communication skills, including the ability to facilitate meetings and effectively lead discussions to outcomes
Ability to manage internal and external partnerships
Ability to work with volunteers, keeping their motivation while managing expectations and resources
Experience in meeting and event management
Strong project management skills utilizing both individual and team responsibilities
Proficiency in spreadsheet software (e.g. Microsoft Excel) and presentation software (i.e. Microsoft PowerPoint), task management software, SmartSheets, Content Management and Web development tools (i.e. WordPress)
Must be technologically savvy and knowledgeable who seeks out technology solutions to business challenges. Intermediate to advanced skills in Microsoft Suite, Google tools, marketing software, social media, content management, and web technologies
Domestic and international travel may be required, up to 5-10% of time. Valid travel credentials required.
