The Department of Emergency Medicine is seeking highly motivated candidates to join our team as an Administrative Assistant Senior. This is an excellent opportunity for experienced staff to advance their career. The position will join a growing team of professionals supporting Emergency Medicine programs at UM. Under the administrative direction of the Director, Education Operations, the administrative assistant senior will provide administrative support for faculty; including general clerical assistance, travel arrangements and travel expense reports. Indirect supervision will be provided on site key administrative staff and faculty leadership. This position will assist with day to day operations of the education programs and ongoing research projects. Particularly but not exclusively responsible for:
Manage calendars/schedules for several faculty
Assist with medical student education initiatives/events
Conference and event planning
Responsibility for financials, including use of concur and PCards
Arrangements for travel
Continuing Medical Education expense and hours tracking
Schedule rooms for meetings
Schedule management and coordination with outside institutions
Assist with quality and safety meetings: room, minutes, etc.
Assist with data entry for various research projects including but not limited to: PECARN, SIREN, ARREST
Assist with manuscript preparation
Various administrative needs: typing, faxing, copying, filing, ordering supplies
Update CV’s and biosketches
Distribute departmental mail
Cross-training and other duties as assigned
Bachelor’s degree or equivalent combination of education and experience; 4-5 years of progressive administrative assistance experience, preferably in a medical setting. Ability to work independently and work well with faculty and peers. Excellent computer skills. Good organizational and communication skills. Perform with a very high degree of accuracy, attention to detail and confidentiality. Outstanding punctuation, spelling, grammar, proofreading, editing and formatting skills are required. Excellent knowledge of google calendar, Microsoft Word and Microsoft excel. Must be able to work with little or no supervision. Must be able to prioritize workload and maintain focused work in a high volume, deadline-driven environment. Solid skills working in Excel/spreadsheets. Exceptional verbal and written communication skills are required, as is the ability to work cooperative with individuals from a variety of professional and non-professional backgrounds. Demonstrated ability to handle multiple tasks, set priorities and work to meet deadlines with frequent interruptions.
Experience with PCards, e-reconcile and concur.
Knowledge of UM policies and procedures preferred.
Previous experience with medical education programs.
Previous scheduling experience.
