This position is full-time and works approximately 40 hours per week.
Position provides clinical support for the Oncology Division. Position works with clinical teams to complete intake and scheduling of new oncology patients. Contacts outside facilities to request medical records, pathology slides and films as required in advance of patients’ initial visit. Responsible for scheduling of new patient appointments, labs, and diagnostic tests as needed. Supports return office patient scheduling and manages high volume of patient calls to physician teams. Directs and communicates to supervisor regarding new patient appointment availability by disease specialty to ensure that division turnaround time to appointment goals and quality and patient satisfaction metrics are achieved.
PRIMARY DUTIES AND RESPONSIBILITIES:
Answers high volume of calls through the Medical Oncology Call Center and Bone Marrow Transplant patient lines, screens and routes calls appropriately, providing information to patients and internal and external referring physician offices and others in accordance with division policy.
Primary responsibility for new patient referral intake, coordination and scheduling:
Referrals are received via phone, fax, Epic order
Intake sheet is completed in Epic
Patient is registered in Epic
Guarantor information and insurance plan is assigned and checked for eligibility
Medical records are requested from outside physicians, along with pathology slides and radiology films (i.e., CT scans, PET, mammograms, etc.) if necessary
Pathology slides from external facilities are submitted for internal review
Medical records obtained are filed in Epic via OnBase
Medical records are tabbed out for physician review and triage if necessary
Patient is contacted with date and time of appointment and given other specific instructions as appropriate
A new patient letter is generated in Epic and mailed to the patient
New patient appointments are confirmed 24 hours in advance
Triages calls from established patients for nurse coordinators facilitating communication, prescription refills, and medical records requests as necessary during phone coverage hours:
Triages emergent calls and directs to the appropriate physician team member in a timely manner
Monitors physician clinic schedules and recommends changes and identifies potential conflicts and overbookings
Obtains pre-certification and authorization for new patients as required by patient’s insurance plan
Responds to scheduling tasks in the EMR following established response time guidelines
Uploads diagnostic exams on new and established patients in LILA application
Completes other assigned tasks as directed by Call Center Supervisor
Provides coverage for other staff members as needed
Equivalent of high school diploma with 2 years of college or business school preferred; 3 years of related experience in medical office setting

The hiring range for this position is $15.99 - $19.99 per hour.
