Stanford School of Medicine is seeking an experienced Executive Assistant to provide multifaceted support to the Chair of Emergency Medicine.
Emergency medicine is fast-paced, team-oriented, and forward-thinking. Our staff run toward challenges, and you should have a demonstrated history of doing the same, with a high degree of professionalism and initiative.
Reporting to both the Chair and the Associate Director, you will support strategic priorities that require your gifts for accuracy, organization, flexibility, and independence
The ideal candidate is:
DIPLOMATIC As a liaison with internal and external constituencies, you will interact regularly with executive and senior level staff, donors and government officials. You will occasionally represent the supervisor in her absence, speaking on their behalf.
A SCHEDULING MAVEN You will oversee complex calendars with limited consultation, resolving conflicting requests with a sharp eye for prioritization and well-honed time-management skills. You will also coordinate and oversee event logistics and manage complex business travel in compliance with unit, university, and sponsor policies.
A STRATEGIC THINKER You will act on behalf of the supervisor to establish priorities and identify and resolve problems, and use independent judgment to keep the supervisor informed of all matters that require his/her attention.
A COMMUNICATIONS EXPERT Exceptional written skills are a given, as you will compose correspondence and develop and edit presentations and documentation. You will have also have demonstrated experience researching and analyzing issues and compiling materials for presentation and decision-making.
A FOCUSED JUGGLER You will manage multiple projects, tracking action items, deadlines and deliverables, and following up with appropriate parties on behalf of the supervisor to ensure deadlines are met. You have developed efficient systems and steps that enable you to uni-task, but quickly switch gears as needed.
* - Other duties may also be assigned. DESIRED QUALIFICATIONS:
Preferred degree in English, Journalism or related field
Ability to independently compose/draft correspondence on behalf of the department leadership
Experience in an academic/medical setting
Prior work experience at Stanford University and/or in higher education strongly preferred
Understanding of the organization of Stanford University Medical Center or similar academic medical center preferred
Demonstrates the ability to work well with Stanford colleagues and clients and with external organizations.
EDUCATION & EXPERIENCE (REQUIRED): High school diploma and five years of relevant experience or combination of education and relevant experience.
KNOWLEDGE, SKILLS AND ABILITIES (REQUIRED):
Demonstrated high-level administrative experience which includes advanced computer skills and demonstrated experience with office software and email applications.
Excellent verbal and written communication skills, including editing and proofreading.
Excellent planning and organizational skills.
Ability to take initiative and ownership of projects.
Demonstrated ability to handle sensitive issues and maintain confidentiality.
Demonstrated ability to perform duties with a high level of professionalism, flexibility, discretion, judgment, diplomacy and tact.
Ability to multi-task, adapt to changing priorities and meet deadlines.
Constantly perform desk-based computer tasks.
Occasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 10 pounds.
Rarely twist/bend/stoop/squat, kneel/crawl.
