We have an exciting opportunity to join our team as a Sr. Project Financial Analyst.
Position Summary: In this role, the successful candidate is responsible for the day-to-day financial management and transactions related to capital construction projects.
Prepare cash flows and forecasting.
Analyze, prepare and recode Journal Entries as needed.
Reconcile NYU financial/accounting systems ongoing to maintain project accuracy.
Reconcile NYU documentation (Approval Logs/cost reports) with CM documentation
Attend Pencil Req reviews
Comprehensive review of CM Requisition including Base contract values, approved change orders, Lien Waivers, General Conditions, Fee calculations, bank reconciliations, etc.
Full understanding of an Anticipated Cost Report. Prepping and working with Projects Managers to produce final product including AFC, variances, change in period and required back-up. Collaborate and train PMs as needed.
Monitor Budgets and Transfers. Prepare transfers when needed.
Review & confirm all invoices and processes are in compliance with contracts and NYU procedures.
Full understanding of the components of a Development project i.e. Contract, Budget, Construction costs, Consultant costs & contingency.
Assist others as needed.
Attend bid openings as needed. Mentor and train staff as needed.
Assist in creating new budgets.
Project Close out.
Create new policies where applicable and help to streamline existing policies.
Be proactive and follow-up with PMs on open items, advise where paperwork is needed & advise on anticipated issues.
Review of exception reports.
Maintain hard and electronic files; filing and archiving as necessary.
Prepare ad hoc reports as needed.
Prepare financial monthly or quarterly reports from Systems downloads as required.
Follow up on audits and responses.
Prepare Draws for DOH/DASNY where applicable.
Be resourceful to know how to work within system limitations
Initiate email communications with contractors and vendors as needed.
Set up monthly calendar of events of due dates i.e. Pencil Req submission, Pencil Req review, Final Req due, cash flows, monthly reports, invoice due dates for vendors, etc.
Guide Project Managers on proper procedures and protocol for reviewing CM Requisitions and Vendor Invoices.
Manage contract administration process. Confirm Requisition for Purchase Order and Change Order back up is in compliance with NYU policies and proper back-up attached.
Liason to Systems people. Research and follow up on open items.
Prepare monthly accruals

Real Estate Development and Facilities (RED+F)
The mission of Real Estate Development and Facilities (RED+F) Department is to plan, develop, operate and maintain the campus of the NYU Langone Medical Center and provide the foundation for its growth and success in the 21st century. RED+F provides strategic campus planning and project development services, including architectural studies, programming, design, construction and associated infrastructure and technological upgrades, for new structures and renovations to existing structures on the NYU Langone Medical Center campus.
The Department also operates and manages all facilities, infrastructure and related support services across the medical center.
RED+F is composed of the Real Estate, Housing, Planning & Project Development, Facilities Operations & Management, Finance & Administration, Campus Security, Environmental Services, Environmental Health & Safety, Radiation Safety and Clinical Engineering divisions.
Position Summary: This position provides financial support for the Real Estate Development + Facilities department. The ideal candidate for this position must have a clear understanding of accounting and finance, procurement, accounts payable. Must be able to communicate with senior staff and project managers, and at the same time, flexible enough to be extremely hands on with administrative tasks, including filing. Must be self-motivated, and excel at working independently and as a team player.
The Analyst will support the Capital Finance Operations team, utilizing Unifier, ad-hoc requests. Under the direction of RED+F management, the Financial Analyst will be responsible for reporting financial status of projects by preparing and analyzing financial plans, forecasts, and reports managed by the RED+F Department. Responsibilities include providing information to management; assembling and summarizing data, preparing reports, making presentations of findings, analysis, and recommendations as per the departmental guidelines. Specific responsibilities and duties may include, but are not limited to:
Track financial status of projects by monitoring variances from original projections of project plans
Execute transactional duties such as entering new capital project’s needs requests in the financial tracking system including additional funding requests and/or budget transfers
Collaborate with Capital Budgeting in order to reconcile and ensure the accuracy of the Capital Plan
Apply cost accounting principles to accurately report and establish cost control measures in forecasting and validation of incurred cost for reconciliation of accounts
Improve financial status by analyzing results and variances, identifying trends, and recommending actions
Interface with the project managers in activities concerned with the reporting and control of the construction process; contract amounts, work orders, change orders
Procure subcontract, lien releases, bonding and insurance documentation
Review project schedule and determine percentage of completion
Support project teams by preparing and finalizing AIA agreements, work authorizations, change orders, consulting agreements, etc.
Ensure RED+F Financial Systems are updated and fully reconciled against organizational financial systems for the projects
Lead, train and mentor Project Financial Analysts
Perform other departmental responsibilities and duties as needed
Bachelor’s degree in Finance or Accounting preferred
5+ years of experience working in Construction, Real Estate, Architectural, Facilities or Health Services organization preferred with a strong understanding of construction accounting
Demonstrate customer service and communication skills.
Must be able to develop and maintain positive, cooperative, team-oriented relationships with co-workers, supervisors, managers, clients and others as required for the job.
Demonstrate exceptional attention to detail as well as the ability to work well under pressure.
Demonstrate accounts payable and overall basic accounting skills (i.e., journal entries, working with G/L, budgeting).
Ability to work in compliance with company policies and procedures.
Experience in the use of Unifier is helpful.
