Assist PI\u2019s in preparation of grant proposals including preparation of budgets, and insuring they are submitted in correct and complete format. Verify that all granting institution application guidelines have been followed and that application is complete and correct. Keep current on policies and procedures for paperwork processing, timelines, required signatures and other changes. Keep current on OHSU and departmental policies regarding budget needs and requirements.
Compose, produce, and/or transcribes letters, memos, and routine correspondence for the division, including nursing staff, using word processing and transcription equipment. Prepare posters, slides, handouts and syllabus materials for presentations. Update monthly call schedule and input data into OHSU SmartWeb system and fax to Emanuel Dialysis Unit and Pacific Northwest Renal Services.
Prepare agenda and attend divisional meetings and distribute to appropriate personnel. Prepare monthly calendar with procedures and personnel out of office and distribute at weekly division meeting. Arrange refreshments for divisional meeting. Organize and oversee conference, i.e. reserve room, organize catering, arrange travel and hotel accommodations, printing pamphlet and notices, etc.
Complete and submit purchase orders for all divisional supplies to department purchasing agent, track to ensure timely receipt, and distribute to appropriate personnel. Open and sort faculty mail, maintain divisional filing system, and provide secretarial support such as copying, faxing, typing, and other duties as deemed necessary. Copy machine maintenance and ordering of supplies for shared copy machine. Maintain accurate records on expenditures for all division accounts and meet monthly with Division Chief and Program Administrator to review all account balances for division chart of accounts.
Coordinate travel arrangements for faculty, visiting professors and candidates. Plan and coordinate schedules of visiting faculty and invited speakers. Prepare travel authorization and reimbursement forms. Prepare and submit registration for faculty, fellows and research staff attending professional organizations meetings, conferences and seminars. Submit off campus authorizations for teams providing contracted care at OHSU and non OHSU facilities.
Answers, screens and routes all division administrative incoming calls. Establish emergency nature of incoming calls and transfer to appropriate personnel. Collect and relay patient information to and from parents, patients, and care providers in a timely manner. Use of Microsoft Outlook calendar system to schedule and coordinate meetings and conferences involving both campus and off-campus personnel. Arranging for refreshments as needed.
Provide administrative support for in-patient and out-patient billing to ensure timely receipt and appropriate billing. Fill out monthly hemo/peritoneal dialysis billing sheets, on each patient receiving dialysis that month. Direct and respond to correspondence and inquiries from insurance companies and federal and state agencies involved in acquisition of data from and on behalf of patients.
Provide the main point of contact between providers and the Lightning Bolt team for producing and maintaining accurate clinic; procedure; service schedules. Keep all providers's calendars up to date with call; clinic and service schedules.
