Under the general supervision of the Director, the Events Coordinator is responsible for the facility event services at the Bren Events Center and occasionally within the Athletics Complex. Areas of responsibility to include: Arena and room areas of Bren Events Center along with other areas within athletic complex including, but not limited to: Crawford Court, Crawford Fields, Anteater Stadium, Anteater Ballpark, and Aquatics Complex.
Incumbent will directly handle coordination duties for clients and events that use the facility. Duties include ability to prepare event cost estimates and event manifests while gathering all necessary event details from clients, making appropriate changes to event set-up as needed to ensure safety of all staff and clients and ensure that all code compliance is met. Position will hire, train, schedule and monitor student assistants for administrative support which includes guests services, event support, and office duties. Incumbent will occasionally handle Event Management responsibilities including client and guest relations, supervision of all staff (in-house and contracted employees) and event related issues during events and/or after all events.
This position will also be responsible for assisting with facility evacuation procedures and also may be assigned to be a part of the campus emergency management zone crew.
Salary: Annual $49,226.00
Total Hours: 8-5, M-F; varies with events
Working knowledge of booking & contract process for special events including, but not limited to: interpreting contracts, scheduling software, diagram software, university & other policies, staffing resources, rental equipment vendors, etc.
Minimum 2-3 years experience handling event coordination and management with a special events entity.
Experience working independently with minimal direction to manage workload, determine priorities, and problem-solve issues that arise.
Must have ability to work with a diversity of staff, clients and guests.
Ability to train, instruct, monitor and supervise part time employees for administrative office responsibilities.
Ability to train, instruct, monitor and supervise part time employees for Guest Services such as: Client & Customer Service, Lost & Found, Event staff logs, Check out of equipment (Radios & Flashlights, etc.), Answering phones, and dispatching applicable information.
Ability to communicate information and procedures to others in a clear, concise manner both verbally and in written format.
Ability to understand various event operations and work during events and also have the ability to facilitate a high level of service for coworkers, clients, spectators, participants.
Ability to work independently on a variety of tasks with little or no direction, and with a high level of efficiency.
