To facilitate event preparations, room set-ups, and co-supervise student staff. This position works as part of campus team to support building operations for students, staff, faculty and guests.
ESSENTIAL JOB FUNCTIONS:
Coordinate equipment in all Buntrock Spaces 30% of time
Collaborate with Building Scheduler for building needs
Coordinate event chairs, tables, staging, dance floor, lecterns, coat-racks, etc.
Communicate with hosts to ensure room needs are met
Create and edit room designs in Social Tables for guests
Process Audio-Visual (AV) requests, per reservation
Straighten rooms, lounges, and portable items
Ensure meeting room white board supplies are sufficient, on a daily basis
Be alert to facility concerns and notify appropriate staff if items are missing, broken, etc.
Maintain organized spaces, cords, and keep detailed inventory
Follow up with guests post-event
2. Hire, train, provide supervision to student staff 25% of time
Hire Building Managers and together train, evaluate, and schedule Information Desk staff
Teach technical/AV items in conjunction with Broadcast Media and IT staffers
Develop/edit online training materials for student staff
Train/schedule student staff to respond and host events in every room, as needed
Communicate effectively with student staff
Prepare building and student staff to be prepared to respond to any emergencies
Coordinate and distribute Info Desk staff break schedules
Supervise Scheduling Office functions and staff 25% of time
Train and supervise Building Scheduler
Approve time cards and provide annual review
Oversee office functions which include: producing IDs; vehicle check-out/check-in; flag lowering, raising and replacement; and lost and found
Answer phones and provide general customer service
Support other Student Life Department areas, as needed
Preform duties as assigned
Miscellaneous duties 10% of time
Run errands on campus
Ensure plants are cared for
Work with contracted foodservice on room set-ups/tear-downs
Monitor building usage
Participate in meetings
Check on Flaten Art Barn
Support fleet vehicles by periodic cleaning, checking fluids, packets, ice scrapers 10% of time
KNOWLEDGE, SKILLS, ABILITIES:
Ability and willingness to learn room diagram software and other new computer software
Ability to work independently or with minimal supervision
Ability to follow instructions and follow-up, as needed
Ability to handle multiple tasks
Ability to interact with diverse group of people
Skill in basic AV/Tech setups; microphone placement, projection, cable management, HDMI inputs, inventory, etc.
Skill in using computer applications including spreadsheet and word processing software
Ability to communicate effectively in both oral and written form
Skill in writing, organizing, and following through with email communication
Ability to always greet clients in a polite, courteous and helpful manner
Ability to deal with pressure situations
Ability to relate with various constituents, read and adapt to their needs, foster relationships, and connect with individuals
Ability and willingness to work effectively and patiently alongside students

Education: Associates Degree or equivalent; maintain a valid drivers license and meet St. Olaf College driver authorization criteria with a satisfactory driving record
