Job Responsibilities: Greeting staff and visitors and refer them to the appropriate person within the office or facility. Answering multi-line phones for Operations and Maintenance and directing calls to the appropriate person; Receiving, entering, and dispatching all maintenance calls appropriately; Paging FOMS and supervisors when appropriate; Responding to and prioritizing emergency maintenance calls; Follow up and respond to inquiries on work orders; Work closely with all Medical center departments, U.W. Facilities Services, vendors, and the general public. Work order/requisition processing (enter work requests into Maximo; distributing work requests per departmental guidelines); Processing time cards (data entry into Kronos, Maximo, OWLS and Excel; verifying accuracy and signatures). Establishes and maintains complex electronic or manual file systems or data base files for Fire Alarms, Provide administrative secretarial support. May serve as primary clerical support for a unit or department. including mail duties, scheduling, filing, meeting minutes and etc; Assists with office projects. Be familiar with the department shared drive file hierarchy to be able to update, format and edit requested reports, spreadsheets and documents and files on demand. Perform complex MS word processing, excel spreadsheet and access database tasks such as merging and sorting, integrating text with graphics, spreadsheet and database files, uploading/downloading and creating footnotes and outlines; use spreadsheet and database software to develop and maintain records; uses simple computer inquiry programming; use spreadsheet and database software to develop and maintain records; Coordinates arrangements for program activities such as meetings and conferences; documents and update various meeting agenda and meeting minutes; schedules appointments and meetings; May assist in surveys and the preparation of reports by gathering and computing numerical information; draft for supervisor's review narrative interpretation of information to be included in reports; review reports for clarity and accuracy; refer questionable data or narrative to supervisor for clarification; Prepares or assists in the preparation, compilation, and coordination of reports, records, tables, charts and graphs as required; Resolves problems and responds to inquiries regarding rules, regulations, policies, department procedures, and department services; Performs back-up duties for other Operations and Maintenance staff members; May serve as a back-up clerical support for the department. Maintains and updates Environmental Tour and Safety Audits database. Track employee and confidence testing database. Makes travel arrangements and registrations for supervisors and staff. May serve as primary clerical support for a unit or department; Performs the duties of Office Assistant II; Performs other related duties as assigned.
