The Senior Facilities Business Services Manager handles all Business Center related operations. The main focus of the role will be the day to day management of the mail room and business center processes, staff, as well as annual maintenance and purchase of new equipment and supplies as needed. The Senior Manager will be responsible for assignment of lockers to incoming students as well as repair and maintenance. The Senior Manager will also function as the Booth vehicle administrator, and will be in charge of upkeep and maintenance as well as purchasing new vehicles when needed. This role will also maintain relationships with vendors and contractors related to the centers and the management of the building.
Directly supervise four union employees, including dock-master, mail clerk and two business center employees.
Manage the day to day operations of both the mail center and the business center.
Maintain copiers, printers, postage, laminating and all other machinery needed to operate the business and mail centers.Oversight of maintenance and purchase of new machines when needed.
Supervise dock operations, including repair and maintenance of dock area and equipment.
Maintain inventory and process procurement of supplies needed for both mailroom and business center operations.
Organization and assignment of lockers to incoming students with each new academic year.Annual and ongoing maintenance and repair of lockers.
Responsible for maintenance, repair, licensing, registration and purchase of Booth vehicles.Also, ensures all van drivers are certified and trained to operate University vehicles.
In charge of maintaining, upgrading, purchasing two way radios for all facilities, custodial and security staff.
Acts as back up administrator for access and security systems.Handles producing access cards, with appropriate permissions when needed.Pull data and surveillance reports as needed.
Assist with updating and ordering all building signage.
Assists with Harper Center construction, building maintenance, and capital projects throughout the year.
Assist with developing and enforcing safety training procedures and drills.
Assists with developing, implementing, and running Booth recycling program.
Helps with conducting building tours to VIP guests, alumni and donors as needed.
Education, Experience or Certifications:
Bachelor's degree or at least ten years of progressively responsible mailroom and/or business center experience required.
Technical Knowledge or Skills:
Excellent verbal and written communication skills required
Customer service skills required
Decision making skills required
Ability to work as part of a team and independently required
Ability to maintain confidentiality required
Ability to work on multiple projects simultaneously, set priorities and meet deadlines required
Successful experience as a manager required.
Experience in a union environment preferred.
Proven exceptional organization, diplomacy and communication skills with many types of constituencies (faculty, staff, students, vendors, suppliers, etc.) required.
Understanding and appreciation of higher education preferred.
