The Center for Biomedical Ethics (SCBE) in the School of Medicine is dedicated to interdisciplinary research and education in biomedical ethics, and provides clinical and research ethics consultation. SCBE also serves as a scholarly resource on emerging ethical issues raised by medicine and biomedical research.
SCBE is seeking is seeking an energetic, organized, and self-motivated Administrative Associate 2 to serve as the Communications and Education Coordinator. This position includes two key areas of responsibility: provide administrative and operational support to the Center's academic programs and coordinate the Center's communication efforts.
The ideal candidate is a proactive individual with strong attention to detail. This position requires ability to handle a wide variety of academic related tasks in a dynamic academic environment with frequently shifting priorities and tight deadlines. The coordinator will often work under pressure and must know how to re-prioritize workload to ensure timely completion of tasks.
Responsible Research Conduct, Course Coordination: Maintain and update course schedules; provide administrative support to course instructors; post and distribute course materials. Manage course registrations to ensure accuracy and total enrollment meets capacity. Manage postgraduate registrations via a waiting list for oversubscribed sections. Course communications to include monitoring/responding to course inquiries. Post-course administration to include verification of attendance, collecting and creating class evaluation reports for instructors. Course administrative logistics to include reserving classrooms, assembling class training materials for instructors, updating and disseminating course policies handouts, and working with Center's Communications Coordinator to ensure course information is accurate and updated on Center's website.
Education Research Coordinator: Provide qualitative research projects support by running focus groups, project management (informed consent management, managing of transcription, uploading into qualitative analysis software. Possible Projects include patients with genetic risk factors who have their stomachs removed prophylactically, use of translators in genetic counseling sessions, and interviews with participants in the undiagnosed diseases network.
Coordinate SCBE seminars (Brown Bags, Classic Readings, and Writing Seminars) including reserving rooms, contacting speakers, coordinating A/V equipment needs, and recording and sending audio files to interested people. Publicize events through weekly eNewsletter, FaceBook, and Center website, Stanford Biomedical Seminars website, Stanford Events Calendar, and Stanford Medicine Community Announcements. Manage list-serves for Center. Assist with a variety of logistical activities related to the Center's programs and events.
Implement program communication efforts, including timely creation and editing of websites, social media, emails, and eNewsletters. Create and distribute electronic communications for SCBE News and Events weekly. Create weekly eNewsletter by scanning Stanford Medicine News for SCBE faculty and affiliates. Format eNewsletter with information for weekly eNewsletter (Center Events, News, Employment Opportunities, Upcoming Events of Interest). Add events and news to Facebook. Publicize events with Stanford Events website, Biomedical Seminars website, and Stanford Medicine Community Announcements.
Maintain SCBE website, Facebook and weekly eNewsletter. Gather information from various university news sources and affiliated Centers to include relevant information and events. Format content to fit newsletter template or webpage (includes formatting and uploading flyers, images and remove past events from homepage and move to past events on child pages). Scan SCBE website for outdated information (Contacts list, Faculty, Affiliates, Staff). Update/remove broken and outdated links.
Draft and/or generate routine communications; coordinate production (formatting, copying, etc.) and dissemination of documents, such as presentations, course handouts, grant proposals, conference and seminar materials, complex reports, brochures, and displays.
Provide backup for the processing and monitoring of routine financial transactions, which may include researching and resolving discrepancies. Collect documents required for reimbursements and submit requests for payments for travel and other types of reimbursement.
Serve as a backup for other administrative support functions and answering general questions.

Experience in an academic setting, preferably at Stanford.
Strong writing skills.
Experience related to postdoctoral policies and procedures.
Experience in Dreamweaver, Photoshop, Endnote and Acrobat is preferred.
EDUCATION & EXPERIENCE (REQUIRED):
High school diploma and three years of administrative experience, or combination of education and relevant experience.
KNOWLEDGE, SKILLS AND ABILITIES (REQUIRED):
Proficient computer skills and demonstrated experience with office software and email applications.
