This position provides assistance to multiple Divisions: Gastroenterology, Hepatology, Hospitalist Medicine, & Nephrology
Answer telephones and provides appropriate information to callers, take messages and transfers calls;
Greet visitors and escort them when needed to required locations
Screen and distribute mail and documents; prioritize response based on content of communication and knowledge of departmental programs and activities;
Prepare packages for shipping via all Courier Services, Optifreight
Maintain and update Environmental Equipment Emergency Notification Card for each PI\u2019s equipment in common equipment rooms
Prepare request to Engineering, Housekeeping and Tele- Communications etc
Assist Administrator in coordination of renovation requests as needed
Provide office coverage during breaks and absences of the other Administrative Staff
Assist Faculty with arranging travel itinerary through Egencia and car service
Assist in coordination of conferences and special events. Activities may include preparing the flier, agenda, arranging meeting facilities, making travel arrangements, and handling supplies and refreshments, as needed;
Independently prepares routine correspondence for supervisor;
Set up general electronic and / or paper files; Maintain complex electronic and / or paper files;
Assist with data entry and maintenance of databases;
Collects relevant data for budgets and reports;
Under general direction, maintain records for expenditure and notifies supervisor of status when requested;
Utilize computer based programs to prepare, submit and track requisitions, reimbursement forms, work orders, etc.;
Attaches appropriate material to mail and routes;
Perform other related duties as assigned
Coordinate Journal Club/Work In Progress Meetings
Coordinate special Seminars & Scientific Advisory Meetings
Assist with the coordination of Grand Rounds \u2013 Renal
Maintains PI\u2019s Information for grants
Assist in the preparation of the Center Grant
Assist in the preparation of the Training Grant
Assist with processing of volunteer applications as well as assist with general on-boarding
Assist with the Division Website
