The Project Assistant III (PA) supports a wide variety of project and clerical functions in the Section of Developmental & Behavioral Pediatrics, which includes faculty, fellows, nurses, staff, and research assistants. The PA orders supplies, types letters or memos as needed, takes meeting notes, handles office phone calls, supports credentialing, faculty and fellowship recruitment, submitting reimbursement requests, as well as research management and schedule management. In addition, this role is also responsible for ordering necessary supplies, processing reimbursements and e-faxing, among other duties.
Arrange meetings for faculty
Schedule conference rooms
Answer phone and communicate information to appropriate faculty and staff
Photocopy, send fax, file
Process reimbursements through GEMS and ePayment systems
Manage mail and carrier packages (e.g., FedEx, UPS, etc.)
Assist in fellowship recruitment (i.e., interview scheduling and travel arrangements)
Assist in faculty recruitment (i.e., interview scheduling and travel arrangements)
Assist in escorting Department visitors to interviews and meetings
Assist in onboarding new staff including technology set up for phone, computer and correspondence with IT services
Assist with credentialing and re-credentialing of faculty, other academic personnel, and Advanced Practice Nurses (APNs)
Assist with onboarding faculty and staff
Handle work orders including maintenance of photocopier, fax machine
Submit Systems Access Requests (SARFs) for Epic access and other technology needs
Review offsite billing and log physician consulting encounters
Assist with setting up computer and projector equipment for conferences
Assist with setting up CME meeting details and requirements
Ability to successfully handle multiple faculty and department related tasks within a specified time frame
Ability to prioritize and delegate
Ability to proactively anticipate physician needs and resolve problems
High level of initiative, strong editing skills and superb organizational abilities
Ability to provide excellent customer service
Ability to manage student workers
Education, Experience, and Certifications:
High School Diploma or equivalent required
Bachelor's degree preferred
Three years of office experience required
Hospital or academic medical center experience preferred
Technical Knowledge or Skills:
Proficiency in Microsoft Word and Excel and Adobe Acrobat required
Knowledge of Epic, GEMS, Buysite, Epayment, MedHub, UChicago Time and Workday preferred
