Position Summary: We have an exciting opportunity to join our team as a Secretary I.
In this role, the successful candidate will perform office duties in support of general medical office activities to relieve medical professionals of clerical and administrative details and to maintain an efficient and effective operation.
Performs other duties as assigned.
Assigns, directs and coordinates work of subordinate clerical staff and ensures that tasks are completed.Maintains supplies and cleanliness of space, restocks supplies as needed. Notifies supervisor of any shortage of supplies.
Maintains workload statistics and other data for departmental records. Records statistics in established time intervals designated by supervisor. Follows instructions given by supervisor and prepares information neatly.
Assists with the completion of special projects, reports and activities. Ensures requested and related information is accurate and complete. Brings any problems or questions to supervisors attention. Submits data to supervisor neat and well-written.
Sorts and distributes documents and forms for area section. Distributes materials according to content of communications and departmental procedures. Logs in materials with respect to time and data when applicable. Processes incoming and outgoing documents. Completes forms neatly. Secures appropriate signatures and forwards documents/forms to correct destination based on pertinent Medical Center procedures. Maintains copy for files. Faxes documents in accordance with departmental procedures.
Types routine material such as forms and letters, envelopes, etc. Types materials neatly, accurately and according to instructions. Writes materials clearly and legibly.Maintains and receives files for area. Maintains files in organized and up-to-date manner in order to facilitate their retrieval. Completes filing in accordance with departmental procedures.
Maintains cooperative and professional relationships with physicians, nurses and office and clinical staff. Handles stressful situations with little or no supervision; functions as a respectful member of the health care team.Answers patient questions to ensure understanding and patient satisfaction.Maintains confidentiality on matters to which they are privileged.
Sets up and maintains office files of patient records, reports, correspondence and miscellaneous information in an organized fashion.
Ensures that appropriate procedure and diagnosis coding is utilized in the pre-certification and verification process and questions physicians, if appropriate, to ensure accuracy and completeness of information.
Refers patients who have questions regarding insurance coverage or are in need of counsel on financial matters based on established criteria to Business Associates or FGP Billing Coordinators.
Scans all necessary documents in to the intake system.Properly QA,s all intake related data and materials for completeness.Monitors intake work queue for timely intake completion.
Follows up with patients and/or their representatives and physicians offices to gather missing data and materials in order to complete intake process.Collects and asks patients to sign patient related documents including HIPAA. MSPQ, ABN and other.
Gathers all patient demographic related data and materials from patient and/or their representative. Obtains insurance information (ID card, member/group #s) for all new patients. On subsequent visits, asks them to verify demographic information and make any necessary changes.Registers all new patients.
Obtains insurance pre-authorization for surgical procedures. Obtains insurance pre-authorizations for treatments and diagnostic procedures.
Schedules new patient appointments; schedules follow-up appointments when indicated. Schedules appointment for test and other ancillary services as directed by the physicians.
Maintains physician patient schedule, patient procedure schedules and appointment calendar.Schedules surgical procedures and maintains the physicians Operating Room schedules.
Provides reception assistance, greets patients in a pleasant and professional manner and directs to the proper individual all requests for assistance. Screens telephone callers in pleasant and a professional manner; handles call, takes message or directs caller to appropriate person or area.
Minimum Qualifications: To qualify you must have a High School diploma and one year medical clerical experience. Must include prior physician practice experience. Knowledge of medical terminology and word processing, database and spreadsheets required. Excellent organizational, communications and interpersonal skills required.
Preferred Qualifications: Preferred Qualifications:Experience with Excel, PowerPoint, MS Access, MS Outlook and Wordperfect.
