Position Summary: We have an exciting opportunity to join our team as a Secretary II.
In this role, the successful candidate Responsible for providing secretarial support by being responsible for records and correspondence and to manage routine and detail work.
Performs other duties as assigned.
Operates hospital and radiology information systems as they relate to Nuclear Medicine or Radiology. Correctly chooses appropriate patient information from HIS/RIS system in accordance with HIPPA regulations. Demonstrates ability to access patient information such as appointment times, type of exam, and patient reports. Is knowledgeable of the total cycle of HIS/RIS patient tracking. Has extensive knowledge of film library functions. Follows departmental policy of documenting film tracking in the RIS. Demonstrates knowledge of the HIS and is able to access patient data for verification of orders. Demonstrates knowledge of proper use of computer product printers, i.e. label printers, report printers, etc, and minor adjustments to correct malfunctions.
Performs a variety of administrative tasks to meet the needs of the department as assigned. Understands the use and purpose of departmental supplies. Orders general supplies based on past practice or in accordance with the supervisors instructions; obtains supervisors approval on all orders. Adheres to budgetary restrictions while satisfying office/department demands; advises the supervisor of any unusual request/need, or financial constraint. Orients new personnel to pertinent Medical Center and departmental procedures. Explains work procedures and methods clearly and accurately. Picks up and distributes the mail accordingly.
Maintains information for the department in accordance with departmental, Medical Center, Federal, State and City agency regulations. Maintains records in an organized and up-to-date manner. Periodically reviews files to check whether renewals are due, copies are clear, or whether additional information is necessary; initiates corrective follow-up. Completes filing accurately. Demonstrates the ability to formulate a mental plan of organization in order to perform simultaneous procedures. Regularly demonstrates flexibility in planning and recognizes priorities and attends to them appropriately.
Maintains records and compiles reports as directed. Prepares any requested data thoroughly and accurately. Obtains information within the time frame specified by the supervisor. Utilizes appropriate resources and assembles data in accordance with instructions. Secures accurate signatures and forwards documents/forms to the appropriate destination based on the pertinent Medical Center procedure. Completes the information correctly and neatly. Initiates follow-up in order to expedite or track the progress through the processing system. Records information on departmental or area records promptly in order to maintain them in an up-to-date manner. Records and calculates the information accurately according to departmental procedures. Analyzes and makes reasonable attempts to resolve discrepancies.
Answers telephones and inquiries promptly and courteously; identifies the department when answering the phone. Directs telephone calls and visitors appropriately based on content of inquiry. Obtains information, answers questions, and resolves routine problems in an appropriate manner. Takes messages accurately and completely, dates them and conveys them on a timely basis. Schedules appointments: Makes appointments promptly, maintains calendars up-to-date and reminds individuals of appointments as necessary. Allots sufficient time for each activity and avoids conflicts in arrangements. Contacts appropriate individuals/organizations regarding arrangements and distribute pertinent materials when appropriate. Meets specifications given by the supervisor, is attentive to details and adheres to pertinent medical center policies when scheduling.
Exhibits excellent communication and interpersonal skills to deliver information, respond to inquiries and coordinate activities/events. Types materials neatly and accurately. Proof reads, edits, and properly formats the materials typed according to content of material. Uses the personal computer correctly and is able to efficiently utilize the PCs potential. Writes letters using correct grammar and format. Ensures correspondence meets content requirements and adheres to the instructions and guidelines given by the supervisor. Completes and sends out letters/correspondence promptly.
Minimum Qualifications: To qualify you must have a High School Graduate or the equivalent. Minimum of three years of responsible secretarial experience. Knowledge of medical terminology. Good communication skills.
Preferred Qualifications: Advanced business training is preferred.
Qualified candidates must be able to effectively communicate with all levels of the organization.
