Position Summary: We have an exciting opportunity to join our team as a Manager-Accounts Payable.
In this role, the successful candidate is responsible for the Accounts Payable Operations, systems team and P-card administration team. The primary responsibility is to monitor staff performance and ensure timely processing of all invoices on a monthly basis, all systems are functioning correctly, and administering NYULMC's P-card program. The supervisor will be responsible for statistical reporting of all activity running through Accounts Payable on a daily, monthly and yearly basis. This will include all invoices as well as incoming and outgoing mail. They will be the primary owner of the open payables and duplicate payment reports and will have both reconciled daily. They should have a complete understanding of medical center purchasing operations and have the ability to create training materials and implement new policy and procedures for medical center regarding Accounts Payable.
Supervise staff. Monitor performance by review of weekly & monthly benchmark reporting (ie. Invoice processing levels).
Liaison with the Finance Call Center in resolving vendor inquiries and continue with training of the Call Center Staff on AP policy and procedure. Perform routine maintenance of the Onbase system.Supervise the monthly vendor statement reconciliation and ensure timely delivery to the General Accounting Unit.
Responsible for NYULMC's P-card program. Responsible for all activities related to p-card administration.
Responsible for AP systems team. Work closely with IT developers and analysts to thoroughly test technological changes and developments within the ERP system.
Ensures all accruals are properly accounted for and ensures timely delivery to the General Accounting Unit.Work closely with NYU Langone Medical Center purchasing department to ensure timely delivery of goods to the medical center. This will include any credit hold situations and any internal reporting problems that may occur between the two departments.Will ensure reconciliation of the EDI reports daily and report problem areas to the Director of Accounts Payable. Proactively identifies areas of potential improvement for accounts payable.
Assist in various audits (ie. year-end both internal and external, A-133, and others as needed). Understands needs of customers. Identifies areas of improvement for Accounts Payable and the NYU Langone Medical Center operational departments. Identifies and coordinates resources to meet customer needs.
Acts as a point of contact with external vendors involved with the institution.
Provides leadership and direction within Accounts Payable as a whole. Promote staff development, mentoring and coaching through routine staff evaluation, motivation, support and providing an atmosphere of integrity and trust. Assist the Director of Accounts Payable in monitoring, updating and enforcing Accounts Payable policies and procedures.
Performs other duties as assigned.
Coordinates with the Director of Accounts Payable to provide in-house education on Accounts Payable policies and procedures. Audience for in-house education includes Finance Call Center, APO staff, Compliance Staff and NYU Langone Medical Center department personnel. Participates in evaluation and redesign, as necessary, of internal processes.
Efficiently organizes and manages tasks/projects. Assigns to appropriate personnel as needed.Assists in fostering a partnership between Accounts Payable and its customers to improve customer relations, service and process.Communicates clearly and concisely with customers in a professional and timely manner. Demonstrates creative thinking when seeking alternative solutions to process challenges and issues. Respects and maintains confidentiality of all information within NYU Langone Medical Center.
Minimum Qualifications: To qualify you must have an Associate's Degree is required; a minimum of five to seven (5-7) years of related experience is also required. Previous supervisory experience is must. The Supervisor should exhibit sound knowledge of Accounts Payable. In addition, the individual should display a general understanding of accounting and/or finance. The individual should demonstrate supervisory skills to meet and exceed the needs of their customers. The individual should have analytical and computer skills to support the Accounts Payable Department of NYU Langone Medical Center. The Supervisor should focus on developing a partnership between Accounts Payable and the NYU Langone Medical Center community in order to improve customer relations and service. The Supervisor must have strong communication skills both written and verbal and should proactively monitor customer satisfaction and the quality of the services provided.
Preferred Qualifications: Bachelor's Degree is preferred in Accounting or Finance.
Qualified candidates must be able to effectively communicate with all levels of the organization.
