The QA Support Specialist will perform important and diverse functions in support of the QA Department. The functions will apply knowledge and experience of database development of simple computer programs ; document management; maintenance of records; and processing of Quality Assurance nonconformance reports, audits reports, audit findings, corrective actions tracking, and other tasks as assigned.
The QA Support Specialist will report to the Head of the QA Department and be accountable for development and upkeep of QA department's intra and inter departmental communications, documents, and records. The incumbent will perform database development, workflow creation, and serve as primary database administrator. Major responsibilites are:
Provide document management; maintenance of records; and processing of Quality Assurance nonconformance reports, audits reports, audit findings, corrective actions tracking, and other similar functions.
Manage the review of QA plans, procedures, and policies; track status and coordinate periodic reviews; consolidate and provide comments to affected managers; edit and format documents; and prepare final documents and revisions for management approvals. Post approved documents online and maintain accurate up-to-date files.
Maintain the QA website and improve website design, and serve as the Department Office Records Coordinator.
Track department training versus procedure requirements, maintain records of QA staff training (training and qualification matrices), and identify, catalog, store, and destroy records in accordance with established procedures and NARA guidelines.
Coordinate internal and external peer reviews and meetings and assessments including sending and confirming invitations, room reservations, preparation of documents and materials, setting up schedules and documenting plans, and assist with planning and performance of assessments.
Assist the preparation of presentations, reports and correspondence for meetings and official correspondence for submittal to DOE and Laboratory management.
Duties also include: plan and participate in departmental meetings; assist with travel arrangements; maintain the Department calendar; schedule and plan of QA department meetings; perform research, gathering data, and generate ad-hoc reports.
Submit, follow-up, documents, and maintain records of credit card, office supply, and occasional procurement requisitions on behalf of department managers.
Ten (10) years minimum experience in similar functions with high school diploma. 5 years minimum experience in similar functions with associate or Bachelor's degree.
Successful candidate will possess a high level of energy in fast paced work environment. Must have the ability and skills to work and communication effectively with all levels of personnel at PPPL, and other federal facilities/contractors; and prioritze multiple tasks
Accurately and efficiently maintain logs, databases, files, and records of various information, tasks and deliverables.
Must be accurate, analytical and have the ability to solve problems, analyze processes and procedures and suggest improvements.
Good editing and writing skills are required.
Excellent computer skills (PC and Mac) with Microsoft Office are required. Proficient in Microsoft Excel, Powerpoint, and Word and in preparing spreadsheets, tables and graphs.
High level of working knowledge/experience with integrated database management systems. Previous experience with database use and data entry is required.
Experience managing websites in HTML
Must have the ability to develop and maintain a working knowledge of Departmental and Laboratory procedures and information systems.
Bachelor's degree in business or information technology.
Preferably experienced in administering, maintaining and developing SharePoint and Filemaker databases, sites, lists and libraries.
Preferably experienced in Web Design, Google Mail & Apps..
Must have ability to perform Good communication skills necessary to communicate with all levels of personnel at PPPL, and other federal facilities/contractors.
Knowledge, understanding, and experience with U. S. Intellectual Property laws is desirable.
Overtime may be required occasionally in support of assessments and hosted PPPL activities.
