Maryville is seeking an Executive Director of Campus Events and Calendar reporting to the Chief of Staff in the President's Office. This individual will direct and oversee all aspects of the planning, implementation, management and administration of multiple and various University-wide events. The Executive Director will oversee the University calendar/space scheduling in all areas except learning space and class schedule. The successful candidate must be committed to fostering a culturally diverse atmosphere for faculty, staff and students.
Primary Job Functions:
Oversee, coordinate and update the University's event calendar.
Coordinate and prioritize the use of the University facilities in line with the University's strategic plan.
Provide guidance and expertise in the conception, planning, development and implementation of University events.
Coordinate all communication between facilities, catering and event organizers to ensure a high degree of excellence in all University events.
Direct and coordinate the operational planning of events including contracts, catering and technology.
Coordinate and manage all scheduling and logistics associated with summer camps (athletic and academic).
Coordinate and monitor event timelines and ensure deadlines are met.
Supervise and provide functional direction to internal constituents for the booking of room accommodations, requesting room set-ups, arranging catering and technology.
Review and answer all phone and electronic communications related to internal and external events.
Manage all contractual, insurance and risk management documentation.
Facilitate events on-site, ensuring events are cost effective and in accordance with goals and objectives, maintain relationships with attendees and resolve or manage the resolution of major problems and issues that may arise.
Commitment to innovation, eagerness to share ideas on how to improve services provided and event quality.
Bachelor Degree from an accredited institution.
Five years of experience in event planning.
Proficient in Windows applications, file management, Microsoft Word and Excel and the ability to learn new systems.
Proven ability to work calmly under pressure and within a team.
Exemplary customer service and interpersonal skills with a high degree of professionalism.
Strong organizational skills, accurate, detail and results oriented.
Demonstrated ability to plan and execute a variety of events and exceptional project management skills.
Excellent communications skills.
Ability to maximize use of technology in reserving space and ability to learn and apply emerging technologies.
Ability to supervise and work collaboratively with co-workers and external constituents.
