The UWMC Vascular Laboratory has an outstanding opportunity for a Patient Services Specialist 3 (Full-Time, Day Shifts). Under general supervision, the Patient Services Specialist 3 (PSS 3) performs specialized clerical and technical duties to facilitate the delivery of patient care specific to the Vascular Laboratory. The primary duties of the PSS 3 include:
Scheduling / Check in:
Prepare templates and create schedules in EPIC for vascular technologists at UWMC vascular laboratory. This includes adjusting the schedule for vacations and other planned absences.
Create exam codes appropriate for length of time of examinations.
Obtain a thorough knowledge of examination types in order to schedule appropriately and to predict staffing needs.
Have knowledge of basic anatomy and medical terminology to enable proper scheduling.
Gain the ability to differentiate between emergent, urgent and routine examinations.
Register and check in patients for the vascular laboratory.
Capable of learning insurance requirements and appropriate indications for each examination type.
Coordinate visits with vascular surgery and other clinics.
Receive requisitions / referrals from the FAX and various order queues (Imagecast, EPIC).
Check requisitions for completeness and contact providers when necessary.
Monitor and enter orders into the EPIC referral queue.
Call patients from the referral queue for 1st contact.
Prepare billing #'s for vascular examinations - requires expert knowledge of examination types.
Notify / page technologists of patient arrival.
Exhibit strong communication skills to ensure smooth flow throughout the vascular laboratory and referring clinics.
Oversee, train and coordinate coverage of PSS2.
Distribute duties with PSS2.
Prepare and send reminder letters
Schedule staff for annual compliance training.
Monitor and order supplies.
Perform the "Diagnostic Testing" audit of random examinations to evaluate timeliness of testing.
Ability to template in EPIC, use WORD, EXCEL, Imagecast, Mindscape and ORCA and CPOE. College degree and strong computer skills.
