Employee will work as part of a team of office staff, diverse medical providers and patients to provide support services for clinical and administrative services for patients seen in the Outpatient Pediatric Practices including Greater Baltimore Medical Center (GBMC) and Anne Arundel Medical Center (AAMC). Provides friendly and conscientious patient care while performing sensitive and confidential duties as outlined below. Employee will show initiative and can manage multiple responsibilities in a busy multi-disciplined outpatient clinical setting.
Specific Duties & Responsibilities
Obtains vital signs, pulse oximetry, and other department specific testing such as but not limited to EKG's, Spirometry testing. Records results in EPIC.
Obtains required Medical History from patient and/or family and records in EPIC
Administers subcutaneous and intermuscular injections as needed. Records required information in EPIC.
Assists with clinical triage during outpatient visits; under supervision of medical staff.
Under supervision of medical staff calls in new/refill prescriptions.
Communicates questions regarding prescriptions to the medical provider or appropriate department nursing staff.
Ensures all hand written test requests and prescriptions are copied prior to being given to the patient
Obtains prior authorizations when required by insurance carrier for all testing and prescriptions and/or requests the assistance of the appropriate department nursing staff if having difficulty obtaining authorization
Assures that that emergency and diagnostic equipment within the clinic is functional and serviced, as needed.
Maintains proper inventory of supplies for exam rooms and back up. Generates a list of what needs to be ordered.
Surgical Scheduling Responsibilities
Obtain surgical posting sheet from the surgeon.
Work with parents either day of visit or by phone to determine a mutual date for surgery and send letter to parents confirming date and pre-surgical instructions.
Post the surgery using the proper process for the hospital where the surgery will take place.
Obtain insurance authorization by providing required documentation when required by the insurance carrier. If authorization cannot be obtained prior to surgery work with the parents and surgeon to obtain another date.
Keeps an accurate record of scheduled OR cases and documentation with the aid of a Surgical Checklist.
Ensure History and Physicals for all surgeries are sent to Pre-Anesthesia testing within 72 hours of surgery
Maintain surgical calendar ensuring that days are marked unavailable for JHU holidays and when the provider will not be available. In the event of patients scheduled on the day a provider will not be available work with the parents to reschedule.
Ensure that block time is released in a timely manner when providers will not be available and another provider will not be using the space.
Assist with obtaining and entering the required information to register a patient in EPIC including the insurance information.
Assist with the scheduling of patients appointments.
Assist with the coordination of appointments within the department or between several other departments.
Assist with the scanning of documents; Op-Notes, Lab/Imagining result, Pathology, etc. into the patients chart as assistance is needed.
Assist with the coordination of surgeon professional billing for OR cases.
Discuss patient charges, if appropriate, with patients and/or patient's families.
Check-In, complete registration paperwork, scan registration documents, check out patients, and schedule follow-ups as requested as well as assist with scheduling tests when requested.
Answer phones, take messages, forward information to the appropriate provider, department or nurse.
Other duties as requested by Ambulatory Service Manager, Sr. MOC and/or Physicians
High School Diploma or GED.
Completion of an accredited Medical Assistant training program, such as course provided through a community college, private training center and/or vocational school.
Certification/Registration as a Medical Assistant (e.g. CMA, AAMA, RMA, AMT, NAHP).
6 months in a Medical Setting.
Minimum of two years of secretarial experience.
If not currently certified/registered, must become certified/registered within 90 days of date of hire. Current CPR certification required. Must maintain MA and CPR certification/registration during duration of employment in this position.
Current certification in CPR that must be maintained throughout duration of employment.
Experience in the Johns Hopkins system strongly preferred, and experience in a similar service-oriented industry highly desirable.
Medical terminology and a working knowledge of Windows, Microsoft Office and Internet preferred.
Knowledge of medical insurance coverage preferred.

Excellent service recovery skills and knowledge.
Strong organizational skills and the ability to multi-task.
Intermediate typing and computer skills necessary.
