We have an exciting opportunity to join our team as an Administrative Assistant.
This position is responsible for providing administrative support to the Director, Associate Director, and Administrator to facilitate and ensure department operates and functions efficiently.
Provides back up support for reception and other clerical functions. Participates in providing appropriate coverage and back up support during absences, vacations and as needed is cross trained in all clerical functions. Handles additional duties in an efficient and timely manner.
Maintains departmental statistics and data collection as assigned updating 21 binders and spreadsheets for TJC inspection on hospital processes. Assists in the collection, labeling, and shipment of Legionella water samples to a lab.
Provides administrative support services to nine managers. Also assists the Business Manager with ongoing projects and helps Finance Manager & team with ongoing requests. Maintains multiple calendars and arranges appointments. Acts as liaison between supervisors and staff to expedite communications. Prepares and composes correspondence, reports and other documents as requested and is proficient in the use of PC applications, i.e. Excel, Power Point, Word, Outlook, etc. Assists in the implementation of special projects including the development of databases, forms, applications and other materials. Proofreads, edits, composes correspondence, edits, properly organizes and formats all written materials.
Performs other duties as assigned.
Must have an Associate's Degree in a related field.
Minimum of three years of related experience in an administrative support role or the equivalent combination of education and experience.
Computer Skills - Proficient in the use of Microsoft Office Word, Excel, and Access.
Ability to develop formulae for moderately sophisticated spreadsheets; set up routine computer procedures; resolve simple software/hardware problems. Ability to access e-mail, electronic calendars, and other basic office support software.
Effective oral, written, communication, interpersonal and customer service skills.
Ability to proofread documents and write clear, concise 1st draft.
Ability to type at a speed of at least 50 net words per minute.
Ability to multi-task while paying attention to detail.
Ability to exercise administrative judgment and assumes responsibility for decisions, consequences, and results.
Five years of responsible secretarial experience.
Qualified candidates must be able to effectively communicate with all levels of the organization.
