Position Summary: We have an exciting opportunity to join our team as a Project Coordinator.
In this role, the successful candidate The Institute Project Coordinator is responsible for coordinating a variety of projects for the Executive Director of the Sala Institute, and the Institute Center Directors. The Institute is a multi-disciplinary, comprehensive organization that provides direct service, robust research-supported innovations and new approaches to educational experiences. The aim of establishing the institute is to create an enduring, broad and flexible family-centered culture that will not only set the agenda for best serving children at NYU Langone Medical Center, but also will inspire new standards and models for family-centered care, creating approaches that will be used in institutions around the world. The Project Coordinator works with internal and external parties to provide administrative support to meet objectives that are necessary to initiate and track projects, so that the Sala Institute may serve children and their families in the highest capacity possible. These objectives may include: preparing presentations, stewardship reports, memos and other targeted communications materials, and providing advanced coordination for various project activities associated with the Sala Institute. Generating the necessary financial statements, serving as a liaison between the different Institute Centers, key leadership, and the Executive Director of the Institute, and ensuring that projects align with the Institutes strategic and operational goals are also key responsibilities that the Project Coordinator must fulfill.
Project Coordination: Provides advanced coordination for project activities for the Executive Director of the Sala Institute, and the Institute Center Directors. Exercises independent judgment to assist Center Directors in the planning, preparation, organization, analyses, coordination, and delivery of projects and programs; works with internal and external parties to organize the various components of the project(s). Develops project schedules; prepares, processes, and tracks purchases, supplies, reimbursements, and expense reports for donor cultivation events, as necessary. Organizes materials, coordinates logistics, and documents salient points at the Sala Institute Center Director meetings.
Written Communication: Independently responds to and composes correspondence. Prepares and proofreads a variety of communications, reports, charts, and written documents, etc. that detail findings which may be highly sensitive and confidential in nature. Maintains and disseminates minutes; develops documents for presentations or meetings.
Scheduling/Coordinating: Maintains schedules/calendars; evaluates and appropriately responds to incoming and outgoing correspondence. Organizes and facilitates meetings, conferences, and other special events, including identifying needed resources and arranging for required support (i.e. Technical, A/V, etc.). Identifies information that is appropriate to disseminate to particular groups of people and assists with special events planning. May also have to organize travel logistic arrangements and itineraries, as needed.
Critical Team Operational Functions: Provides administrative and project support, and develops policies, procedures, and systems for the Sala Institute which ensure productive and efficient administrative operations, and improve the workflow. The role includes the maintenance of a portfolio of Sala Institute projects.
Minimum Qualifications: To qualify you must have a Team-oriented, with excellent project management, organizational, and time-management skills Must be creative, innovative, and detail-oriented and be able to apply the same level of effort into all assignments, regardless of scope Ability to multitask, and to work successfully under pressure in a fast-paced environment; should be able to handle changing priorities quickly Proficient in the use of MS Word, MS Excel, MS PowerPoint software Preferred knowledge of human group behavior and performance; individual differences in ability, personality, and interests; and learning and motivation Effective oral, written, communication, and customer service skills Ability to interpret and implement policies and procedures, and to effectively communicate this information to a diverse population, in a comprehensive manner Strong interpersonal skills and ability to work successfully with many different constituencies to accomplish objectives Self-motivated, outgoing and results oriented Ability to exercise excellent judgment, and to assume responsibility for decision, consequences, and results Exceptional problem-solving and planning skills in working with colleagues, leaders, and administrators A Bachelors degree in public health, business administration, healthcare administration, communications, or related field, or an equivalent combination of education and relevant experience is required; Masters degree is preferred At least two years of previous experience in administering office operations and project coordination in a healthcare setting is preferred Experience working in large, complex organizations is a plus
