Medical Education Office Coordinator/Residency Compliance Specialist

Location: Hyde Park Campus
Perform complex and diverse administrative duties, including but not limited to, developing and implementing policies and procedures to ensure continued accreditation and meet all departmental and hospital compliance metrics/requirements. Maintain the day-to-day operations of the Medical Education Office, including monitoring and reconciling all orders/accounts, processing verification requests, overseeing the visiting resident/fellow application process, and managing the CME conference seriesâ™.
Extended hours may be necessary based on workload and project due dates in regard to Residency Compliance / Accreditation purposes.
Maintain resident data management system as it pertains to compliance requirements (i.e. resident schedule, duty hours, evaluation completion, conference attendance, etc.)
Compile and analyze data for quarterly compliance deadlines, create semi-annual documentation, and aid in submitting all accreditation requirements
Monitor and reconcile all accounts; order/receive, process, and track all bills and expense reimbursements
Schedule diverse and complex meetings, events, and travel arrangements, including but not limited to semi-annual resident meetings, Clinical Competency Committee meetings, resident retreats/events, etc.
Oversee and maintain the physical office space and conference room (Medical Education); order and stock supplies/daily meals.
Process resident/fellow alumni verifications / develop and maintain alumni database
Process and oversee all visiting resident/fellow applications for rotation
Oversee and organize the CME Conferences supported by Medical Education (i.e. Pediatric Chief Conference Series and Pediatric Grand Rounds Conference Series)
Proficiency with work processing applications, spreadsheets, and databases required
Ability to take initiative and organize and complete projects with minimal supervision required
Ability to maintain calm and courteous demeanor and to work productively despite heavy workload, competing priorities, complex problems, and tight deadlines required
Ability to use appropriate resources to resolve an issue required
Excellent interpersonal and communication (oral and written)service skills required
Education and Experience
Bachelor's degree or a minimum of three years of progressively responsible administrative experience required
Extensive knowledge/experience of Microsoft Office required
Experience with financial management databases preferred
Experience working with Medical Education Training Program (UME, GME, etc.) preferred
Technical Knowledge or Skills:
Extensive knowledge/experience with Microsoft Office(Word, Outlook, Excel, Access, etc.) (required)
Experience with Adobe products (preferred)
