The Center Specialist manages the daily operations and provides support to the director and key members of the University of Chicago Medicine Comprehensive Cancer Center (UCCCC), including monitors finances and supplies, authorizes and ensures that all expenses are paid, and maintains facilities. Organizes and executes plans for all UCCCCC meetings, including symposia, seminars, External Advisory Committee meetings, Executive Committee meeting, and National Cancer Institute (NCI) site visits. Manages the UCCCC membership application and RFA solicitation processes.
Monitors, orders and tracks supplies for the entire UCCCC unit and grants/projects managed by the UCCCC including the Precision Medicine Initiative (PMI), multi-ethnic cohort project (COMPASS); involves working with various principal investigators and their research teams
Coordinates and oversees logistics of all UCCCCC academic-related events, both internal and external (e.g., monthly seminar series and translational seminars, outside speakers, symposia, External Advisory Committee meeting, NCI Site Visits, recruitment visits; biweekly Executive Committee meeting, monthly Program Leader meetings, working group meetings); develops agendas and compiles required materials; assists in the scheduling and planning of events; selects vendors and caterers; works with audiovisual services
Develops and implements new processes for streamlining the management of over 24 UCCCC RFAs, including the application solicitation, submission, review and election, follow-up and reports to funding agency/donor, etc.
Manages the UCCCC membership process, including solicitation of new members, collection and distribution of application materials, updating the UCCCC membership database, and processing secondary appointments with Office of Academic Affairs
Manages the UCCCC funding opportunities database/website for faculty to access and search
Maintains organized and complete records of all UCCCC-sponsored events and meetings (internal and external)
Oversees and maintains the physical office space, ordering equipment repairs, upgrades and renovations
Monitors finances and processes invoices, e-payments, and standing orders
Manages special projects and provides support to the Center's director and other key members including phone coverage, arranging meetings, maintaining office database and logs, and development of standard operating procedures

Education and Experience:
Bachelorâ™s degree and a minimum of two years of progressively responsible administrative experience OR a minimum of 5 years of progressively responsible administrative experience.
