Northwestern University is seeking a temporary Full-time Program Assistant for the Evanston campus.
Temporary Job Description:
The temporary Program Assistant position supports all aspects of the department’s efforts and coordinates a broad variety of administrative processes. This position works closely with Associate Directors. The individual in this position will work closely with an extensive array of volunteers.
Essential functions include, but are not limited to:
Serve as first point of contact to stakeholders for all event questions
Manage event logistics and registration, including producing print and electronic event materials, shipping and delivering meeting supplies, tracking RSVPs
Coordinate logistics with Reunion event planning team
Liaise with hotel for overnight room reservations and transportation to/from event
Lead weekly Alumni Leadership Summit planning meetings;
Research and write alumni biographies and other briefing documents for team;
Proof-read documents for accuracy, including meeting and event materials;
Maintain the accuracy of club records, calendars, and volunteer contact information for the alumni database;
Be onsite during the event days (May 2 – 4. 2018) and proactively handle any arising issues and troubleshoot any emerging problems
Provide post-event assistance, including sending evaluations and compiling feedback, processing expense reimbursements, tracking registrants in CatTracks
A bachelor's degree or the equivalent combination of education, training and experience;
Exhibits a high level of professionalism and customer service
Exceptional written and oral communication skills
Expertise in Excel
Creative thinker and planner
Proven organizational skills with exceptional attention to detail
Ability to prioritize and manage multiple tasks simultaneously in a fast-paced environment.
Ability to maintain a high level of confidentiality
MS Office suite 2013 (Word, Excel, PowerPoint, Outlook).
CRM Databases ( Advanced preffered)
